In a context where non-profit organisations must optimise every available resource, managing financial processes has become a strategic priority. This was the conclusion reached by United Way East Ontario, which embarked on modernising its budgeting in order to improve efficiency, visibility and collaboration.

United Way East Ontario is a non-profit organisation that supports communities in Eastern Ontario. Through its fundraising campaigns, partnerships and funding programmes, the organisation supports numerous local associations and helps address major social issues such as poverty, inclusion and community development.

To fulfil this mission, the organisation manages multiple cost centres, projects and funding activities, resulting in particularly complex budgeting processes.

 

A budgeting system that had become difficult to maintain

When Jason Kempt joined United Way East Ontario as Senior Director of Finance and Accounting, he quickly identified several limitations in the existing working methods.

The organisation relied mainly on a set of Excel spreadsheets developed over the years. Distributed across different departments, these spreadsheets had become difficult to consolidate and control. The growing number of formulas, links between files and successive versions considerably increased the risk of errors.

This situation required significant time from the finance teams, who regularly had to check data, correct inconsistencies and manually consolidate information from multiple sources.

 

An organisation facing increasingly complex challenges

The very structure of United Way East Ontario added to this complexity. The organisation operates with numerous cost centres and accounting codes, while also managing charitable campaigns for various associations, particularly as part of Canadian federal programmes.

This activity generates particularly sophisticated cost reallocation and recovery mechanisms. In an environment based essentially on independent Excel spreadsheets, it had become difficult to obtain a consolidated and up-to-date view of the financial situation.

Operational managers could not immediately measure the impact of their budgeting decisions on the organisation's overall results, which slowed down decision-making.

 

Choosing a more collaborative solution

To simplify its processes and reduce the risks associated with spreadsheets, United Way East Ontario chose to adopt the Budgyt platform.

The objective was twofold: centralise financial data and enable the various stakeholders to collaborate within a single environment.

Thanks to automated consolidation and shared access to data, teams were able to gain a real-time view of their budgets and the financial consequences of their trade-offs.

 

Rapid user adoption

One of the most notable outcomes of the project was the speed with which users embraced the solution.

Despite very different profiles and working habits, department heads quickly integrated Budgyt into their day-to-day processes. This rapid adoption helped accelerate the transition and reduce the resistance typically observed when implementing a new financial tool.

The intuitive interface and ease of use notably helped make budgeting exercises smoother and more accessible to non-finance teams.

 

Discussions more focused on strategy

Improved collaboration also transformed the way budgets were developed and analysed.

Teams gradually spent less time resolving technical issues related to Excel files and more time discussing operational priorities, activities to be funded and development prospects.

This shift was particularly visible during budget meetings and discussions with leadership, where conversations could focus on strategic challenges rather than data reliability.

 

Greater visibility to guide decision-making

Access to consolidated and up-to-date information enabled United Way East Ontario to identify changes in its various funding sources more easily.

The organisation was therefore able to better analyse the decline in certain fundraising revenues, while identifying growth opportunities in government grants. This increased visibility made it easier to allocate resources to the most promising initiatives.

 

A transformation serving the social mission

Beyond productivity gains, this modernisation enabled teams to devote more time to their primary mission: supporting the associations and communities they serve.

By replacing a fragmented budgeting environment with a collaborative platform, United Way East Ontario strengthened the reliability of its financial data, improved the quality of its decisions and simplified the daily work of its employees.

This experience illustrates how non-profit organisations can also benefit from modern financial planning tools to improve efficiency while remaining fully focused on their social impact.
